Committee Roles

The committee normally meets 6 times a year, plus the AGM in early March. These meetings are in the evening and last about 2 hours. Attending committee meetings is necessary for the Chair, Secretary and Treasurer, in practice most come along. The wider the range of voices the better we are at reflecting the aims and wishes of members. It is a very democratic club and all ideas are welcome from all members.

Getting on the Online AGM

Allow 5 minutes before the beginning of the online AGM so that you can go through the following steps

Preferably join on a computer via browser, tablet is fine, smartphone will be less comfortable

Click on the link in the email invitation, this will open a browser window

Click on “Join Meeting in Browser” underneath the “Join My meeting”

Put your full name so that we can identify you if you want to raise a question.

Mute yourself and switch off your webcam if you have one

Members who are familiar with GoTo meetings and already have the app installed can use the app if they wish, just keep to the house keeping rules

If you wish to raise a point put a message using the chat function, which you can access by pressing the speech bubble symbol at the top of the screen.

If you do not select a specific person to chat to your question will be visible to all attendees. If you wish to communicate to the committee confidentially, chat privately with the vice-chair Karen Charman by selecting her name from the drop down menu in the chat box. She will ensure your questions and comments are passed onto the speakers on your behalf.

Voting and decision making 

The approval of the fees and the yearly accounts will be done via proposal/seconded that can be made via the chat function, which will need to be public ie chatting to everyone.

For the renewal of the committee, in the case where there are more than one candidate for the same post, the membership will be asked to vote by email sent to the sitting club secretary (email hidden; JavaScript is required).

AGM attendants can put their name forward for a post on the committee either prior to the AGM, notifying the club secretary by email, or during the AGM via the chat function.

If there is only one candidate for a post the nomination to the committee will be done via proposal/seconded

Important

If you do not have a device allowing you to join the online AGM, there is a telephone number that will let you join in, however you will only be able to listen in and will not have access to the chat functionality, therefore you will not be able to raise issues or propose/second approvals.
